Mac hot desk setup checklist for display and sound
A shared desk should not rewrite your workday. Prove the display path, choose the right sound output, then save only the repeatable parts.
The short answer: at a Mac hot desk, check the desk hardware first, set display mode before moving windows, choose the system sound output after the dock or monitor connects, then tune app volume. Save presets only for shared desks you use often enough to repeat.

01Prove the shared desk before restoring your routine
Start with the physical desk because a shared station may have been left in a strange state. The monitor could be on HDMI instead of USB-C. The dock may be unplugged from power. A cable may charge but not carry display. A previous user may have lowered monitor volume or switched the speaker path.
Do this before opening your work apps: wake the monitor, confirm the input, connect power if the dock needs it, attach the Mac, wait for macOS to detect the display, then test keyboard and pointer input. If the desk has Ethernet, confirm network before joining a call or starting a large upload.

02Set display mode before display controls
Once the monitor appears, decide how the screen should behave before you move windows. Set mirror or extend, choose the main display, confirm resolution, choose a safe refresh rate, check scaling, and confirm the color profile if color-sensitive work is involved.
Apple's Displays settings cover resolution, brightness where available, display arrangement, mirroring or extending, refresh rate, color profile, and other options that vary by Mac and connected display. If a control is missing, it may be unsupported by that display path rather than broken.

03Save shared-desk presets only after the desk repeats
A preset is useful for a desk you will use again. It is not useful for every random conference room. Save the state after the monitor path is stable and after you know which choices are actually repeatable at that desk.
For example, a rotating office desk may need one preset for focused work at normal brightness and another for calls with a lower side monitor. 04Choose sound output after the monitor connects
Do not tune app volume until the system output is right. A monitor, dock, HDMI connection, USB headset, audio interface, AirPlay speaker, or headphones can all appear as sound outputs. A shared desk often changes the list the moment you connect.
Apple's Sound settings let you pick the output device and adjust output volume. Apple's help also calls out that a Mac can switch to a different audio device when that device is connected. That is normal behavior, but it can be a problem if the new output is monitor speakers in a quiet office.
Run one short test sound after choosing the output. Do not assume a meeting app will use the same device, because many meeting apps also have their own speaker setting.
05Tune app audio after system output is right
After the Mac is sending sound to the right place, tune the apps that matter: meeting app, browser, music app, video player, white-noise app, or any app that should stay quiet at a shared desk.

- Wake the monitor and confirm the input before attaching the Mac.
